Position Summary

The Senior Purchasing Administrator/Coordinator is a detail orientated role involved in the day to day operation of the procurement process. This role will be responsible for performing multifaceted purchasing assignments to procure supplies, equipment, and services vital for the operation of the organization.

This position reports to the Associate Director, Procurement and will be located at our headquarters in New Haven, CT. Hybrid or remote work arrangements are available for this role.

Principal Responsibilities

Key responsibilities of this role include, but are not limited to:

  • Review company signed agreements and purchase orders with our service and supplies providers and vendors, in order to gain an understanding of the deliverables/milestones therein as well as manage vendors and vendor contracts.
  • Create purchase orders in the ERP system to mirror terms from signed agreements primarily related to contract services.
  • Collaborates with scientific and other teams to gain a full understanding of negotiated terms of services agreements, in order to properly create and manage purchase orders in the system.
  • Aid in the analysis of active purchase orders receipts against vendor invoices to ensure proper matching of expenses.
  • Review current processes and make necessary recommendations to identify cost effective and value-added processes.
  • Work closely with the Finance team to resolve challenges for Purchasing and Supply Chain.
  • Buying of goods and services on behalf of internal customers as required both online, by order, or in person.
  • Creation and facilitation of bid processes and documents.
  • Conducts contract management and vendor relationship business reviews.
  • Understands the basics of procurement and purchasing laws, policies, and guidance.
  • Tackles additional tasks willingly and as needed.


  • Experience in Biopharmaceutical environment a plus.
  • Understanding of the Procurement to Payment (P2P) process from beginning to end.
  • Three (3) plus years buying experience.
  • Three (3) plus years Customer Service experience.
  • Great Plains experience a plus.
  • Coupa Experience a plus.
  • Netsuite experience a plus.
  • Proficient with Microsoft Office Suite or related software.
  • Be able to effectively communicate both verbally and in writing.
  • Ability to solve problems with effective solutions and drives objectivity and a research- and data-driven approach in procurement decision making.
  • Understands internal and external customers needs and strives to meet expectations.
  • Resourcefulness - Flexible, adjusts readily to new situations and changing priorities while effectively dealing with ambiguity, stress and uncertainty.


  • Bachelor’s degree in Business or related field or equivalent combination of education and/or experience.
  • Master’s Degree a plus.
  • Procurement or purchasing certifications a plus. (ex. CPPO, CPM, etc.)
